Terms and conditions


Your place is confirmed upon receipt of payment and a welcome email from Max Whitlock Gymnastics.


Payment, membership and cancellation 

1.0 Payments and membership:

- We require all class fees and membership to be paid using our online system through direct debit

For new members, payment will be required for the cost of all sessions remaining in the month of sign up plus the annual membership fee.

  • Class fees will be debited from your account on or shortly after the 25th of each month for the following months fees

  • Fees will be the same each month

  • Your first payment will include your child's membership fee for that year which is non-refundable. Membership runs from 1st January - 31st December. If your child joins within terms 1 and 2 full membership fees will be required. If your child joins within terms 3 and 4, then membership fees will be reduced. Memberships are renewed at the beginning of each year. 

  • Membership renewal will be due prior to the start of the first term of the new year along with the first months payment.

- If your child is not enjoying their sessions after three weeks, we will be able to refund you the remainder of the months payment. This will be valid for new members only and will not include the membership payment. Please see section 2.0 for cancellation policy.

- If you do not pay your fees by the first class of each month, we will not allow the member to enter the class

- If your child is unable to attend due to medical reason, providing we see a doctors note, we will hold your child's place open for the period stated on the doctors note up to a maximum of 6 weeks, known as the "holding period". You will not be required to pay during this period (from the date stated on the doctors note). This is only accepted for medical reasons that require a minimum of 4 weeks off of gymnastics. 

- Any medical reason that requires less than 4 weeks off of gymnastics, you will be required to pay session fees as normal during this period if you wish to keep your child's place. If you do wish to cancel your child's place during this period please see section 2.0

- If your child requires more than 6 weeks off of gymnastics for any medical reason and you would like to cancel their place at Max Whitlock Gymnastics, providing we see a doctors note to state this you will not be required to pay any further fees. This is only accepted if you inform us when the medical issue arises. This will need to be in writing via email to 

- Max Whitlock Gymnastics will need to see a doctors note stating that your child is able to fully participate in gymnastics before their return

- Max Whitlock Gymnastics will only accept your "holding period" once a year for the same medical reason.

2.0 Cancelation:

- At MWG an "existing customer" means you have been registered in a class at Max Whitlock Gymnastics for 28 days or more.

-If you wish to cancel your child's place at MWG, we require 28 days notice. This will need to be sent to us in writing to the following email address: 

- When renewal membership fees are due for the new year, if you wish to cancel your child's place then we will require 28 days notice before your child's first session back in the new year for memberships fees to not be charged as your child will be leaving the club

- Sessions are non-refundable if your child cannot attend a session within a term

- If we need to cancel a session, we will let you know in advance. This will either be included within the monthly payments which you would have been made aware of at the start of the month. Any other cancellations made by Max Whitlock Gymnastics can be deducted off the next months payment or refunded if you no longer wish to continue.

- Max Whitlock Gymnastics have the right to cancel a class/session at any time for any reason. However the points listed in the section above will be put into place. Max Whitlock Gymnastics will not be responsible for any additional costs that you may incur as a result of this.

- If we need to cancel any sessions due to government guideline in relation to Covid-19, we will freeze all fees until MWG can resume classes. In this event, any sessions that have been paid for will be made up when we return. MWG can not offer any refunds if you cancel your membership during this period. We reserve the right to change and amend any class days and times upon return. Providing MWG can offer a gymnastics class in any capacity we cannot offer any refunds. If MWG decides to close the Southend club we will offer a refund for the outstanding sessions that have been paid for

3.0 Other:

  • It is your responsibility to keep you and your child/children's details up to date using the online system

  • Where possible, car parking facilities will be made available for you. We will not be held responsible for any loss or damage caused as a result of parking at our Max Whitlock Gymnastics locations.

  • We have the right to amend our policies and will keep you informed on any changes to the agreements.



  • If a member of MWG staff cannot get hold of the child’s parent/guardian/emergency contact in the case of an emergency, it is deemed that you authorise the medical professionals to perform any necessary emergency treatment. 


Health and safety

  • Due to the nature of the activities involved in Gymnastics, we must inform you that the risk of injury does exist. 

  • At Max Whitlock Gymnastics we have a Health & Safety policy in order to help minimise the potential risks involved with Gymnastics   

  • Coaches and centre staff will take precautions necessary to prevent accidents from occurring and will therefore not be held responsible for loss, damage or injury to my child

  • By attending a Max Whitlock Gymnastics club, you accept all risks associated with participation  

  • By attending a Max Whitlock Gymnastics club, you are agreeing that the participant is fit and able to engage in such activities.

Code of conduct


Gymnast code of conduct

  • Please try and ensure the gymnast arrives 10 minutes prior to the session

  • Gymnasts are required to wear appropriate clothing to each session. Appropriate clothing consists of shorts, tracksuit bottoms, leggings, t-shirt or leotard. No jeans are permitted.

  • Gymnasts are required to wear either the MWG t-shirt or MWG leotard (with the exception of ‘Dress to the MAX’ week where they can dress up related to the theme. Please ensure this clothing is suitable and safe to participate in the session).

  • Long hair must be tied back

  • No jewellery to be worn in sessions

  • No chewing gum is allowed

  • No food is allowed in the gym

  • Please ensure gymnasts go to the toilet before or after the session

  • Gymnasts must listen to their coaches at all times

  • Gymnasts must behave in a sensible and respectful manner towards both staff and other children

  • Bullying will not be tolerated in any form and will be dealt with accordingly

  • Please do not bring valuables into the sessions as Max Whitlock Gymnastics will not be held responsible for any lost of stolen items

  • No mobile phones to be used in the gym



Parents/guardians code of conduct

  • Parents will not be allowed to sit in the hall 

  • Where possible, we will provide seating for parents

  • We advise you to stay for the duration of the class

  • Parents/guardians will be responsible for their child’s safety prior to them entering the gym and upon exit of the gym

  • Parents/guardians MUST collect their child/children from each session unless otherwise agreed with the owner of MWG

  • Please ensure you arrive on time to collect your child from their session once it has finished

  • Please remember children progress at different rates and levels so please be patient

  • We do not accept parents/spectators to take photos/videos of any children, including their own, during our Max Whitlock Gymnastics classes
